When answering calls on behalf of a client, the client is normally responsible for determining the purpose for which the recording and caller information are used.
7. Website forms and Squarespace
Our website is hosted through Squarespace.
When you submit a website form, the information may be:
stored within Squarespace;
added to Squarespace Contacts;
emailed to our website-contact inbox; and
accessed by authorised members of our team.
Our forms are not currently connected to Google Drive, Zapier or Mailchimp.
Squarespace and its service providers may process technical and form-related information to provide and secure the website.
8. Email marketing and newsletters
Our website contact form includes an optional, unticked box allowing you to sign up for news and updates.
Where you choose to sign up, we may use your email address to send occasional:

service updates;
useful information;
newsletters; and
relevant offers from That’s My Call.
We will only use the sign-up information for marketing where you have actively opted in or where another lawful marketing basis applies.

Client and CRM records
Retained while the client relationship is active and reviewed periodically after the relationship ends.
Information may be retained for longer where it is required for legal, contractual, insurance, complaint-handling, accounting or regulatory purposes. Records that are no longer needed will be deleted or anonymised where appropriate.
Accounting and transaction records
Normally retained for at least six years, where required for company, tax and accounting purposes. UK government guidance states that limited companies generally need to keep accounting records for six years from the end of the relevant financial year.
Marketing records
Retained while you remain subscribed.
Where you unsubscribe, we may keep limited details on a suppression list so that we do not accidentally contact you again.
